How Much Does it Cost to Attend ProMat 2025?
It’s free! Registration gets you access to the exhibit hall, seminars, and floor education sessions. However, while there’s no cost to enter, planning your budget for the trip involves considering some secondary costs.
For those traveling to Chicago, accommodation and travel expenses can add up. It’s wise to book hotels early, especially with the conference coinciding with St. Patrick's Day festivities, when the city is particularly bustling. Also, factor in your daily meals and local transportation — although ProMat provides a shuttle service between designated hotels and McCormick Place, you might opt for rideshares or public transit which could incur additional costs.
With food, accommodation, and transportation you’ll want to budget at least $150 per day, per person attending the conference, but we would note that that’s on the low end. To save some money on your ProMat experience, try to:
- Take public transportation, when able
- Book your hotels ahead of time to take advantage of room discounts
- Do some research on restaurants in your budget

This tucked-away food court offers several fresh options including Italian entrees, flavorful tacos, hearty sandwiches, classic burgers and a fresh salad and soup bar — ensuring there's something to satisfy every craving.
“The salad bar at The Plate is my go-to spot for lunch during ProMat — it’s close and quick and keeps me going the rest of the day. I try to have a later lunch to avoid the noon crowd.”
Christina Dube, ProMat attendee since 2001 |

Three Reasons to Attend ProMat 2025
Besides Chicago truly being one of the coolest cities in the United States (maybe even the world), there are several reasons you’ll want to attend ProMat.
1. It’s a Networking Extravaganza
ProMat serves as much more than just a trade show – it is a hub for thought leadership. With attendees from various sectors of the warehousing, supply chain, and manufacturing industries, the networking opportunities are endless.
Attendees can gain a competitive edge from participating in groups like the MHI Young Professionals Network, which provides a platform for emerging talents to connect and exchange ideas in a traditionally older industry. This group will be especially important as Millennials start to fill leadership roles in the years to come.
"Attending the MHI Young Professionals Network gave me the chance to meet people from different parts of the industry that I wouldn't have met otherwise. I’ve built connections that have lasted beyond ProMat 2023 — it’s about finding your community and having a great time while you’re at it!"
Gary Higginbothem, ProMat attendee since 2023 |
Additionally, specialized subgroups such as the Women in Supply Chain Forum on Monday (register in advance) offer tailored discussions and networking that cater to specific professional interests within the material handling industry. From our personal experience, we’ve found that these opportunities enhance ProMat even further, fostering connections and sharing innovative ideas in a dynamic setting.
For a full list of networking opportunities, visit the ProMat website.
2. There are Hundreds of Warehousing Innovations on Display
From automated storage and retrieval systems (ASRS) to the latest in robotics and AI, ProMat lets you see, touch, and experience the future of warehousing and manufacturing technology. While in past years there were a lot of digital-only booths, we’re predicting exhibitors will be back with ProMat 2023-style hands-on demonstrations. This means attendees can interact directly with the technologies reshaping their industries and discover how those technologies work firsthand. After all, sometimes seeing is believing!
In fact... schedule a time to meet with the Kardex team and test drive our solutions in person at ProMat 2025!
3. You’ll Have Access to Endless Learning Opportunities
Between seeing technologies live on the exhibitor floor and attending the keynote and educational sessions, you will leave the conference with insights into the latest industry trends and challenges, giving you a competitive edge as you return back to your day job. The keynote sessions and educational seminars focus on practical implementation, showing how to integrate the technologies on the show floor with AI and advanced software into comprehensive, real-world solutions. You’ll not only see the equipment in action but, more importantly, learn how it interacts with software, giving you the tools and knowledge to make data-driven decisions that enhance your operations back home.
To maximize your time at ProMat, there are 9:00 am Keynote Speakers BEFORE the show hall opens Monday through Wednesday.

4 Trends We Expect to See A Lot Of at ProMat 2025
ProMat 2025 promises to showcase a diverse and expansive array of more than a thousand exhibitors, spanning industry giants to groundbreaking startups, each presenting their latest innovations in automation and manufacturing technology. We’ve heard some rumblings about the hottest topics to expect at ProMat. Here’s what you can expect to learn more about:
1. Harnessing Data, AI and Machine Learning
ProMat 2025 will highlight the use of data, AI, and machine learning, particularly in applications that optimize warehouse operations such as predictive maintenance, and supply chain visibility. AI-based quality control systems that monitor and analyze product packaging in real time to detect defects or inconsistencies, ensuring high-quality standards will also be featured. Exhibitors will be showcasing solutions that leverage AI for real-time data analysis and decision-making support.
2. Wearable Technologies
One of the standout trends this year is the surge in wearable technologies (also known as wearable task assistants). These devices, like advanced gloves equipped with scanning and data capabilities or glasses, are transforming traditional warehouse tasks by enhancing the efficiency of existing technologies. This new wave of wearable tech is designed to streamline operations and reduce the physical strain on workers, aligning with the broader theme of human-centered automation.
The Wearable Task Assistant (WTA) from Kardex enhances the efficiency of your picking process by guiding the operator through each task.
3. Collaborative Robots (Cobots) and End-of-Arm-Tooling (EOAT)
The spotlight will be on collaborative robots (cobots) and their integration with advanced end-of-arm tooling (EOAT). Attendees can expect to see cobots equipped with hybrid EOAT, combining vacuum and mechanical clamping technologies to handle diverse product shapes and sizes with ease. These systems will also feature intelligent tool changers, enabling quick, seamless transitions between different EOAT configurations. Additionally, smart gripping systems with real-time feedback capabilities will be demonstrated, optimizing performance and ensuring precision in dynamic environments. These technologies aim to enhance safety, adaptability, and productivity, showcasing the future of effective human-robot collaboration.
And while we’re on the subject of robots…
4. Integration & Connectivity: ASRS, AMR, AGV
Integration will be a central theme at ProMat 2025, highlighting the seamless collaboration between Autonomous Mobile Robots (AMRs), Automated Guided Vehicles (AGVs), and Automated Storage and Retrieval Systems (ASRS). As AMRs gain popularity for their ability to autonomously navigate large warehouse environments, their role in connecting with other automated systems becomes crucial. Kardex’s ASRS, for example, integrates with AMRs, enabling efficient handoffs where goods retrieved by the ASRS are transferred to AMRs for precise delivery within the facility. This synergy between technologies underscores ProMat’s focus on enhancing connectivity and operational efficiency through advanced automation.
Here, AMRs interface directly with the Kardex Compact Buffer Modules as well as the production machines, enabling the movement of semi-finished goods throughout the facility. See the case study video here.
The conference schedule is packed with seminars covering everything from the impact of AI in supply chains to practical strategies for implementing wearable technology in warehouses.

How to Make the Most of Your Time at ProMat 2025
Now that you have all of the details about what to expect at ProMat, it’s time to start planning your time on the ground. Here are a few helpful tips to make the most of your experience:
1. Learn the ProMat Conference Venue Ahead of Time
McCormick Place is vast – we’re talking a 2.6 million square foot convention center – and navigating the venue can be overwhelming. Prepare by reviewing the interactive floor plan to prioritize which exhibits and sessions to attend.
Each hall has its own themes that you’ll want to be aware of, including:
South Building |
North Building |
Lakeside Hall |
|
|
|
2. Download the ProMat App
Before heading to ProMat 2025, make sure to download the official ProMat App for iOS or Android. This invaluable resource will serve as your digital guide to the event, providing real-time updates, session schedules, and notifications directly to your device.
The app includes an interactive floor plan to help you navigate the extensive exhibit halls effortlessly, locate booths, and find session locations without missing a beat. Additionally, the app allows you to create a personalized schedule so you can organize your day around key sessions and meetings with exhibitors, ensuring you don’t miss out on anything important.
Here are some screenshots of the 2023 app for some reference:
3. Pack Comfortable Attire
Given the scale of ProMat 2025 and the expansive venue, you should anticipate a significant amount of walking. To stay comfortable throughout the day, it’s advisable to wear comfortable footwear. Consider shoes that you have already broken in to avoid any discomfort.
Of course—while we probably don’t need to remind you—comfort is key, but maintaining a professional appearance is still important. Opt for smart-casual attire that enables you to move easily yet looks sharp for professional interactions.
"ProMat is a lot of walking—I'm talking miles every day. Comfortable shoes, water, and a phone charger are must-haves. Don't cut yourself short on seeing the whole show and hitting up the seminars because your feet hurt, be prepared."
David Brown, ProMat attendee since 1995 |
Also, be mindful of the potential for varying temperatures in different areas of the conference venue, so dressing in layers could be a beneficial strategy. This will also come in handy with Chicago’s unpredictable early Spring weather (hint: it will probably be chilly).
4. Make Dinner Reservations Ahead of Time
Attending ProMat during St. Patrick's Day weekend adds an exciting twist to your conference experience, especially in a city like Chicago that celebrates the holiday as if they’re all Irish themselves. This festive weekend sees a significant spike in local activity as both locals and visitors participate in myriad events and traditions, including the famous dyeing of the Chicago River green.
Given the increased demand during this time, securing dinner reservations becomes crucial.
Popular restaurants are even more likely to be booked out, particularly during this high-spirited holiday. To ensure you have a quality dining experience without the inconvenience of waiting for a table or having to eat late, we recommend making your dinner reservations at least two months in advance (preferably even earlier if you can).
Early planning not only guarantees you a spot at top eateries but also lets you relax and enjoy the festive atmosphere after a day at the conference without the stress layered on top.
Wondering where the best spots to eat are? Jump to our Best Places to Eat section now!
5. Schedule Meetings in Advance
Reach out to key exhibitors and fellow attendees through the ProMat 2025 LinkedIn group or directly contact people to schedule discussions. This proactive approach allows you to maximize your time at the event, ensuring that you connect with essential business leads and industry peers in a meaningful way.
Of course, despite the recommendation to plan ahead, it’s equally important to keep an open mind about impromptu meetings and be ready to engage with other professionals—you never know when a chance encounter could lead to a significant business opportunity.
If you want to connect with Kardex at the conference, shoot us a note, we’d love to chat with you:
6. Plan to Bring a Few Key Things With You
When packing your bag each day, there are a few must-haves for your ProMat checklist:
- Cell Phone Charger: Your mobile device is crucial not just for staying connected but also for accessing digital resources, the ProMat app, and capturing important information during sessions or demonstrations. Make sure you have a charger handy so you always have access to the resources you need.
- Snacks: The days can be long and the schedule packed, so bring along some snacks to keep your energy up throughout the day. Having quick, accessible snacks means you can stay focused on the event without having to leave a session early because you're hungry. (if you're short on snacks, visit Kardex in the South Hall, booth S3562 -we always have snacks!)
- Business Cards: Networking is a cornerstone of the ProMat experience. Be sure to carry a plentiful supply of business cards. These are essential for making quick, effective introductions and ensuring that new connections can follow up with you after the event. Business cards remain one of the simplest yet most effective tools for making a lasting impression and facilitating future interactions.
While these are must-have items to carry with you, it’s best to travel light. You’ll be on your feet all day and carrying a heavy bag around won’t help your show stamina. It’s also worth noting that ProMat does offer a bag check in the main concourse, so no worries if you need to bring your suitcase to the show on the day you arrive or depart.
7. Engage on Social Media
Engaging with the event through social media is crucial. This approach ensures you stay updated with the latest developments, connect with industry peers, and share your experiences in real time.
ProMat is every where you are - start by following the official ProMat social media channels you prefer, including X, LinkedIn Group, Instagram, and YouTube, where you’ll find continuous updates about new products, services, and key announcements from the show management.
If you plan to post about your time at the conference, use the hashtag #ProMat2025 to be part of trackable conversations. Following this hashtag also allows you to engage with content from other attendees while you contribute your own insights and observations.
While you're at it... Connect with Kardex, too! Kardex will be active on social media before, during, and after the event, sharing updates, insights, and live content. Connect with us via LinkedIn for more information.
All things considered, remember that going to ProMat without a plan is still fun, but not as beneficial. Make the most of your time by taking advantage of everything the event has to offer.

The good news is there are TWO Starbucks at McCormick Place. There is one in the South Hall on Level 2 (with a Jamba Juice directly across if that's more your style) and one as you enter the exhibits in the North Hal. If you find these Starbucks lines to be painfully long, you can try the McDonalds in the South Hall on Level 2.5 for a solid cup of joe. These on location coffee spots are your quickest option for a familiar cup of coffee.
For those willing to venture a bit further, the surrounding areas offer several unique coffee shops where you can enjoy a high-quality brew. Here are our top three recommendations:
- The Understudy Coffee and Books – Located at 5531 N Clark St – Reviews say the pastries and atmosphere are to die for!
- Bridgeport Coffee Company – Located at 3101 S Morgan St – They import some of the top coffee beans in the world.
- Sip & Savor 47th - Located at 78 E 47th St – This is considered a go to for strong coffee and community atmosphere.
